Organize your Office 365 Email

Inbox and Sweep Rules

A rule is an action that Outlook runs automatically on incoming or outgoing messages. Outlook includes the ability to create inbox and sweep rules to easily organize and clean up your email.

The sweep rule feature is only available in the Outlook Web App (OWA).

Inbox rules apply to emails as they arrive.

Sweep rules apply to all emails including emails you've already received.

More examples of how to use rules:

  • Move all emails from one person or company to a specific folder.
  • Move emails containing specific words in the subject or body to a folder.
  • Mark emails matching certain criteria with a flag, color category, or importance level.
  • Mark emails as junk.
